The Telligent Event Calendar is an group-oriented add-on application for Telligent Enterprise 3.0 that allows event calendaring for a group or individual with many powerful features - such as:

  • Calendar addition, modification, or deletion
  • Event addition, modification, or deletion
  • Integrated activity stream reporting of all calendar and event activity
  • Event notification
  • Event export to other applications
  • Rich registration and moderation features
  • Location geocoding
  • Search enablement for events and calendars

How do I add a calendar?

  1. On the Calendar tab, click Add calendar.
  2. Enter the Calendar Name and Calendar Description.
  3. Click Save Calendar. From here you have options to edit the calendar, add new event, email subscribe to the calendar, delete the calendar, and receive an RSS feed from the calendar.

How do I change calendar name and description?

  1. On the Calendar tab, click Edit this calendar. The calender add/edit page appears.
  2. As desired, change the Calendar name or Calendar description fields.

How do I delete a calendar?

On the Calendar tab, click Delete this calendar.

How do I customize the calendar application for my group?

  1. Click Edit Page. The Edit Page mode appears.

  2. Add, relocate, or remove the following widgets as desired. You can also configure different options for the chosen widget(s):

    • Event Calendar - Calendar Breadcrumb: The breadcrumb for the calendar
      • Widget title

    • Event Calendar - Calendar Events: List of events. Note: If this widget is located on a calendar page, it will pull events directly from that calendar. If it cannot find a calendar on the page, such as when it is located on a group home page, it will pull events from that group. If you selected the Include calendars in selected group's sub-groups check box, it will also pull from the sub-group events.
      • Widget title
      • Months to show (defaulting to 2)
      • Events to show (defaulting to 3)
      • Show events from all calendars check box: Shows an aggregated event list of every event from every calendar in every group on your site, filtered by a user's permissions.
      • Select group - calendar to pull from (defaulting to pull from Current calendar): You can also select Current group instead of hard-coding in the group.
      • (If you select group) Include calendars in selected group's sub-groups check box

      • Select group/calendar to pull content from (defaulting to pull from Current calendar); you can also select Current group instead of hard-coding in the group.

How do I add a calendar or event list to my group's home page?

If you choose to pull from the group events for the group, the list will be an aggregate of all events for the group, filtered by the user's permissions.

  1. Navigate to the group home page.
  2. Click Customize.
  3. Add the desired widget, as it is described in this procedure, to the page. (For example, to add an event list, choose Event Calendar - Calendar Events.)
  4. Click Finish. The following screen shot shows the finished page.

 

How do I add a calendar or event list to my site home page?

If you choose to pull from the site events for the site, the list will be an aggregate of all events for the site, filtered by the user's permissions.

  1. Click Edit Page on the site home page.
  2. Add the desired widget to the page. (For example, to add an event list, choose Event Calendar - Calendar Events.)
  3. Click Save.

Events

How do I add an event?

  1. On the Calendar tab, click Add a new event. The Event Calendar - Add/Edit event page appears.

  2. Enter the following information:

    • Event title
    • Event location: Enter any location. However, if you want to use the Get map check box, it must be a location that the mapping application can find, or you must enter at least a street name and city/state.
      • Get map check box: If you select this check box after entering the location of the event, Telligent Event Calendar will pull a Google map of the location.
    • Event URL: Enter a URL for the event here if desired.

      If you do specify a URL here, a user will be taken to this URL when he/she clicks the event on the calendar. Note: If you have an event URL, you will not get the normal cancel or delete options that you otherwise would when you click an event. The information you fill out in the add/edit event form will still appear in internal lists.
    • Event start date: Select the event start date on the clickable calendar or type it and the start time in the field.
    • Event end date: Select the event end date on the clickable calendar or type it and the start time in the field. If you do not specify an end date, the event will default to one hour long.
    • Event description: Enter the description using the rich text editor that is used throughout Telligent Evolution.

      Hint
      : You can add an attachment, such as an image or text file, by using the Insert Image button and navigating to the file. The file can be of any file type specified in the site configuration. If you insert an image, the image will be displayed on the page. If you insert a data file, a view link (such as ) will be displayed on the invitation while you edit it. When saved, the attachment becomes a clickable link.
    • Registrations: Select from the following options - 
      • Registration not required: There is no registration, invitation, or confirmation. If the event is open registration, a confirmation is automatically displayed. The user is automatically sent an email confirmation as well. When the user views the event, he/she is now shown Update Registration or Cancel Registration buttons.
      • Open registration: Users navigate to your event and register for it, and they are automatically saved a spot. You may use an invitation with this registration method.
      • Registration confirmation required: Similar to open registration, it allows a user to fill out the registration form, but he/she is not confirmed for attendance until someone manually approves the registration. (Or it may be disapproved.) You may use an invitation with this registration method.
      • Invitation required: There is no registration form for this event. Users must be invited to the event.
    • Allow anonymous users to register: Selecting this check box will allow non-community members to register, but does not confirm their registration. If you have an open registration event, someone must approve the registration before the anonymous user an attend. Selecting this check box forces the anonymous user to fill in user information, and once he/she clicks registration, the user is shown a notice that the registration has been received, and will soon receive more information. The user has not yet been confirmed for the event. When a community outsider registers in this fashion, he/she is emailed a registration code that can then be used to cancel the registration.
    • Maximum registrants: Defaults to unlimited number of registrants if it is left blank or assigned a value of 0.
    • Tags: Any tags you want to use for categorizing the event. (The tag will appear in the Tag Cloud widget on the main calendar page, dependent on the number of hits the widget requires before the tag is represented.)
  3. Click Save Event. The community view of the event appears (unless you are using an external URL, in which case you will be redirected to the external site). If you chose to map the location, the event address and map links redirect you to a larger map of the event in the mapping service being used.

How do I change an event?

  1. In the calendar's Upcoming events list, click Edit beside the event.

  2. The Event calendar - add/edit event window appears.
  3. Make your edits.
  4. Click Save event.

How do I cancel an event?

  1. In the calendar's Upcoming events list, click the event.
  2. Click Cancel event. If the event is canceled, it will display in red type on the calendar and event list. If you click the red event, the event will state that it has been canceled.

    A canceled event still shows in search results. The event still has a cancel option, but you cannot un-cancel an event once it has been canceled. Attendees receive cancellation notices.

How do I delete an event?

  1. In the calendar's Upcoming events list, click the event.
  2. Click Delete event.
  3. Click OK in the confirmation dialog. Deleting the event removes it from the calendar and event list. Deletion automatically cancels an event, so attendees are notified. It will not show in search results. You cannot undelete an event.

How do I feature an event?

From the event page, click Feature this event. This will add the event to the Featured Content List widget (if that is deployed on your home page).

How do I moderate registrations (for registration confirmation required)?

  1. Click the event on the calendar.
  2. Click View registrations. The Event calendar - event registration list appears (depending on your permissions). The list can be sorted by username, registration status (including cancellations), and date registered.

  3. In order to:
    • Cancel a user's registration - Click Cancel. The [USER IS/IS NOT NOTIFIED] of the cancellation.
    • Confirm registration (for Registration confirmation required) - Click Confirm. You are shown an attendance confirmation notice when you view the event, and receive a confirmation email from the community.

Add registrations from the View Registrations page

Under Add Registration, as a moderator you have the ability to add users to the registration list without their having to register individually.

  1. In the Select users field, begin typing a user name. The list of users with a similar name appears.
  2. Select the user from the list and continue until you have added all desired registrants.
  3. Select the Confirmed registration status.

How do I invite a user to an event (for invitation required)?

  1. Navigate to <event> > View registrations.
  2. Add the user name(s) in the Select users field. (Or if you have allowed anonymous users, you can type their email addresses in the Email addresses field that displays.)
  3. Select the status of Invite.
  4. Click Add Registrations.

    An anonymous user who has been invited by email will receive an invitation containing a registration code that is good for a default seven days (configurable on installation). The user can take that code and follow the link in the email, and finish registering for the event.

As a member of a group, you have a number of calendar and event options.

How do I view a calendar?

Click the Calendar tab within your group. If the group has only one calendar, it will take you directly to that calendar. If the group has multiple calendars, the tab will take you to a list of calendars.

Click the calendar you want to view. The main calendar view contains an event list, large calendar with events, calendar options, a mini-view of the calendar, and event tags.

You can navigate to different months in the calendars by clicking Next (>>) or Previous (<<).

The smaller version of the calendar shows dates containing events as grayed out. Each event is linked to the date. If you click the linked date on that calendar, the event list filters down to only that date.

How do I set an email subscription to a calendar?

In the Calendar Options widget, click Subscribe to this calendar. The option changes to Unsubscribe from this calendar. As a general user subscribed to the calendar, you are notified only of new events.

How do I subscribe to the RSS feed for a calendar?

  1. In the Calendar Options widget, click RSS. The RSS subscription window appears.

  2. Select an RSS service (such as Live Bookmarks or Microsoft Outlook) from the Subscribe to this feed using... drop-down list.
  3. If you wish to always use the chosen service to subscribe to feeds, select the Always use <application> to subscribe to feeds check box.
  4. Click Subscribe now
  5. If you receive a confirmation dialog, click Subscribe, Yes, or other affirmative selection.
  6. If using Outlook, you may need to enter your credentials to activate the feed.

Events

How do I comment on an event?

  1. Click the event on the calendar (not Edit). The Event calendar - add edit registration form appears.
  2. Locate the Post a comment area.

  3. Enter your comment.
  4. Click Post. The comment is automatically published, but it can be edited or deleted by a moderator.

How do I download an event?

  1. In the Event Options widget, click Download. A download dialog appears.

  2. Elect to either open the event with Outlook or other application, or save file. (If you select other, you are presented with a dialog to select the application.)

    Note: If you open the event with Outlook, it is not already reserved in your calendar. You must click File and Save.

How do I register or cancel registration for an event?

  1. Click the event on the calendar. The Event calendar - Add/Edit registration form appears. Where possible, the application tries to pre-populate fields with information from your profile.

  2. Click Register for event. Once you are registered, you are shown a confirmation in the event window and emailed a registration notice. The event changes to display Cancel Registration and Update registration buttons.

    If the event is open registration, a confirmation is automatically displayed. You are automatically sent an email confirmation as well. When you view the event, you are now shown Update Registration or Cancel Registration buttons.

    You can cancel your reservation using the Cancel Registration button. The event will then show that you have canceled the registration and email you a notice. You can re-register if there is space in the event attendance. If you update the registration information, it does not affect registration status.

How do I set an email subscription to an event?

In the Event Options widget, click Email subscribe to this event. The option changes to Unsubscribe from this event. As a general user subscribed to the event, you are notified of changes, updates, or comments.
